Job Description

Responsibilities
Export:

  • Maintaining the Export Register which contains the complete details of the shipments.
  • Preparing and Sending Sales Confirmations to Foreign Buyers against their order confirmation ofpurchase of product.
  • Preparing and sending Sales Contracts to Foreign Buyers for the product is being exported.
  • Coordinating with Liner to arrange an empty container for Self Sealing.
  • Negotiate with liner and finalize the Freight Charges.
  • Preparing and sending Export shipping documents, ‘i.e.’ Invoice, packing List, Certificate Origin,Analysis Certificate, Necessary Annexure, Insurance, Bill of Lading to Buyer and get their confirmationon documents.
  • Shipping Bill filing.
  • Coordinating, via email & Phone, with foreign buyers till the cargo reaches the Destination Port.
  • Maintaining a healthy relationship with all the foreign buyers.
  • Arranging Export License to avail the Customs Duty Exemption.
  • Preparation of Cost Sheet of APTA certificate.
  • Arranging APTA Certificate to the product is being exported to other Asian Countries.
  • Checking and Confirming the Draft BL of the Export Shipment sent by the liner.
  • Coordinating with the Liner to arrange the OBL of the export shipments.
  • Getting done all the DGFT works related to Export Shipments.
  • Updating E-Seal details on an online platform in order to Gate in the containers which are beingexported.
  • Duty Drawback follow-up. Analyse availability of trade agreement’s duty benefit like SAFTA, APTA, ASEAN,CEPA
  • Preparing and submitting the necessary annexure to the bank to enable them to credit. in our accountthe Inward Remittance received against our Export Shipments.
  • Import and Export end to end follow up.
  • Co-ordinate with Freight Forwarding agent to fix freight rate & Vessel / Flightschedule planning.
  • Create internal Delivery Instruction (DI) to keep production unit updated regardingcargo pick / delivery.
  • Release purchase / work order to Freight Forwarder, CHA, Warehouse, and Transporter.
  • Maintain detailed shipment tracking list to achieve allotted lead time and for future reference.
  • Export Invoicing, BL draft to forwarders, COO to CHA, Packing list and Insuranceindication.

Import:

  • Maintaining the Import Register which contains the complete details of the shipments.
  • Sending a Purchase Confirmation to Foreign Suppliers for the product we purchase.
  • Getting a Sales Contract from the Foreign Suppliers for the product we import.
  • Checking and confirming the Sales Contract which we receive from the foreign Suppliers.
  • Checking and confirming all the Import shipping documents we receive from the foreign Supplier.
  • Communicating with all foreign suppliers, over the phone & e-mail, to get rectified the. glitches in theimport shipping document and to sort out all the queries related to shipment.
  • Monitoring the imported shipment till it reaches our manufacturing unit.
  • Preparation of import shipment’s DSR list.
  • Giving approval to CHA to file Bill of Entry of import shipment.
  • Checking and confirming the Check List of Bill of Entry.
  • Preparation of necessary annexure to retire the import documents received by our banker from theoverseas suppliers.

LC Documents and others:

  • Preparing LC documents for the product we Import, Export and Sell domestically.
  • Application preparation of Bank Guarantee, Advance License, Letter of Credit(Import) & Triple duty bond (Import).
  • Online generation of MEIS License (Scrips) & E-way Bill.
  • Authorised Economic Operator application and document preparation.
  • Dual Use – NOC documentation preparation & submission at DGFT (Chennai).
  • Monitoring stock Re-order level.

HSS Agreement:

  • Preparing HS Sale Agreement of the Import Shipments.

Claims:

  • Rising claims, in case, if the imported material has any weight shortage, excess attachment and inferiorquality etc
  • Follow-up of Claim Settlement with the Foreign Suppliers.

Banking:

  • Handling all the forex transactions related to import and export shipments.
  • Excel with all banking related transactions, i.e., funds transferring, RTGS, NEFT, Inward Remittance,outward remittance and all other online transactions.
  • Retiring Import Documents by Trade Finance.
  • Covering USD against Import Shipments.
  • Hedging USD.
  • Byers Credit availment and US Dollar hedging.
  • Handling the process of OD account renewal.
  • Maintaining good rapport with all the suppliers and buyers and also with all bank staffs.
  • Handling petty cash and maintaining staff’s attendance register.
  • Monthly stock statement (warehouse & in-transit) and Foreign currency Billspayable & receivables.

Communication:

  • Giving works related feedback to MD at the end of the day.
  • Maintaining good rapport with all the suppliers and buyers and also with all bank staff.
